Requirement 1:

The system should contain main repository with documents on the organization level. Each of the document can have access rights.

Requirement 2:

Admin should be able to add folders (Practices). Each practice should contain documents with access rights. (sub folders should be available too)

Requirement 3:

All the documents should have metadata. Multiple meta data can be added such as Tags, document categories

Requirement 4:

Elastic search feature should be available to search all the documents and contents in the system.

Requirement 5:

Access rights should be enabled for Documents, Categories and folders.

ü  Organization level – The documents in this access group should be available to everyone in the system

ü  Practice level – Documents in this access group should be available to everyone in the practice group

ü  Employee level – Documents in this group should be available to everyone in this level group (Staff, Nurse and doctor)

o   Employee-Practice level – Should be available to all the specific employees in all practices or specific practices.
Eg: DocumentA can be given Doctor-Practice level access and only for 5 practices out of 10. That means, the document will be available to all the doctors in those 5 practices.

Requirement 6:

Any individual can upload a document with required access rights. Every document upload goes to manager review. The manager can accept or reject the document.

Requirement 7:

Users can have multiple access.

Eg:A doctor can be Practice manager of one practice and an employee or user at different practice. Respective roles should be given to the user.

Requirement 8:

When a user uploads the document, these major questions should be asked. Category? Expiry Date? Tags? Once the user uploads, Admin should review the document and approve.

Requirement 9:

Admin should be able to see all the documents at one place categorized with filters and due date of the expiry.

Requirement 10:

Organization policies should be placed at one place. When each policy is updated, it has to be displayed to the end user when he/she goes to policies page. The policies should be formatted properly based on the policies entered.

Create, update and delete roles should be given to Admin operator.

All the other users should have read operator.

Requirement 11:

Search policy should be implemented to search whole document and display the policy which is related to the search.

Requirement 12:

When a user is created from Admin, there should be option to select what privilege the user must have like Admin, Practice Manager, User.
